SharePoint effect"},"content":{"rendered":"<p><span style=\"font-size: 16px;\">&#8216;SharePoint is ubiquitous&#8217;. <\/span><span style=\"font-size: 16px;\">Ubiquitous (adj.) <\/span><span style=\"font-size: 16px;\">is defined as <em>&#8216;<\/em><\/span><em>Being or seeming to be everywhere at the same time; omnipresent&#8217;<span style=\"font-size: 16px;\">.<\/span><\/em><\/p>\n<p class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">Microsoft has certainly\u00a0invested heavily on marketing SharePoint, but they have also invested heavily in\u00a0Zune.\u00a0 Why is SharePoint an unbelievable success and Zune\u2026.well, isn\u2019t?<\/span><\/p>\n<p class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">People might dispute when\u00a0SharePoint truly became a legitimate ECM offering, but I would have to say that\u00a02010 was a sincere \u201ccoming out\u201d party for Microsoft SharePoint Server.<\/span><\/p>\n<p class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">First, from the product\u00a0development perspective specifically, Microsoft released a major overhaul of\u00a0Microsoft Office SharePoint Server (MOSS) 2007 with SharePoint 2010 this year\u00a0which incorporated many of the \u2018must-have\u2019 features for a true ECM solution such\u00a0as List Validations and Document IDs.\u00a0 Basically, and you would think this\u00a0should have been obvious, List Validations means that administrators can enforce\u00a0metadata rules with commonly used document capture techniques such as hidden\u00a0columns, no duplicate values and column validation conditions.\u00a0 While Document\u00a0IDs are basically a persistent\/permanent unique identification number assigned\u00a0to a documents in SharePoint.\u00a0 Meaning that if they are moved around within\u00a0SharePoint site collections they can always be accessed by a special URL. <\/span><\/p>\n<p class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">Secondly, Microsoft has done a wonderful job of building their SharePoint\u00a0Ecosystem and, therefore, has the support of many complimentary software and\u00a0hardware vendors to promote SharePoint ECM.\u00a0 Generally speaking, I think just a\u00a0few short years ago SharePoint was being wrongly promoted as the \u2018the one-stop\u00a0ECM shop\u2019 for everything content management.\u00a0 This was clearly misguided as\u00a0SharePoint has many good qualities, but from an ECM perspective had many more\u00a0deficiencies than it did useful features.\u00a0 One obvious major deficiency even to\u00a0this day is there is no native document capture, or scanning directly, into\u00a0SharePoint without third-party document scanning solutions.\u00a0 It\u2019s clear that\u00a0Microsoft has changed their tune on the promotion of SharePoint and now embraces\u00a0the SharePoint ecosystem.\u00a0 It seems that \u2018enhancing the SharePoint\u2019 experience\u00a0by enabling integration to the SharePoint platform is more of a priority than it\u00a0originally was as evidenced by the major turn-out and interest at the\u00a0\u201cSharePoint Partner Pavilion\u201d at AIIM 2010 earlier this year in Philadelphia. \u00a0Complimentary vendors offering best-of-breed applications such as document\u00a0capture and BPM (Business Process Management) to the SharePoint platform were\u00a0nearly stampeded in their respective booths and kiosks with customers interested\u00a0in product demonstrations or eager for more information about their respective\u00a0offerings.<\/span><\/p>\n<p class=\"MsoNormal\" style=\"text-align: center;\"><span style=\"font-size: 12.0pt;\"><a href=\"https:\/\/www.kevinneal.com\/blog\/wp-content\/uploads\/2011\/01\/the_sharepoint_effect_large.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter  wp-image-363\" title=\"The SharePoint effect\" src=\"https:\/\/www.kevinneal.com\/blog\/wp-content\/uploads\/2011\/01\/the_sharepoint_effect_large.png\" alt=\"\" width=\"494\" height=\"306\" srcset=\"https:\/\/www.kevinneal.com\/blog\/wp-content\/uploads\/2011\/01\/the_sharepoint_effect_large.png 706w, class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">No longer do traditional\u00a0ECM software vendors dismiss SharePoint as a weak solution.\u00a0 Rather these\u00a0long-standing ECM vendors now have complementary product development and\u00a0marketing strategies because of the overwhelming interest in SharePoint is real\u00a0and to deny the SharePoint effect.<\/span><\/p>\n<p class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">I think in years past we\u2019ve\u00a0certainly heard more and more discussion about the practicality of using\u00a0SharePoint for ECM but I believe for the most part it was early-adopter IT\u00a0departments or organizations on a tight budget that were actually using\u00a0SharePoint.\u00a0 No longer is this the case.\u00a0 Organizations and businesses of all\u00a0sizes from small companies to large enterprise are deploying, investigating and\u00a0building upon the SharePoint\/Office platform.\u00a0 But what is driving this demand?<\/span><\/p>\n<p class=\"MsoNormal\"><span style=\"font-size: 12.0pt;\">Simply-put, if you make\u00a0something accessible and ease to use then whatever it might be, it stands a good\u00a0chance of adoption.\u00a0 This is especially true when it comes to technology.\u00a0 For\u00a0users to learn SharePoint is not too unlike software applications they are\u00a0already familiar with using such as Internet Explorer, Word, Excel or Outlook. \u00a0Since users already have some level of comfort using these applications,\u00a0extending the capabilities of these desktop applications to now store electronic\u00a0documents in SharePoint is probably one of the most effective ways to get users\u00a0to accept and, more importantly, embrace change.<\/span><\/p>\n<p class=\"MsoNormal\" style=\"text-align: left;\"><span style=\"font-size: 12.0pt;\">As always I appreciate the time you\u2019ve spent to\u00a0read this posting about \u2018The SharePoint effect\u2019
